HOW FAR IN ADVANCE CAN I BOOK A RENTAL


The Tavares Pavilion on the Lake takes bookings up to 18 months in advance. 


WHAT IS THE PROCESS FOR RESERVING A RENTAL SPACE? 


To secure the reservation, a deposit equal to 50% of the rental fee, plus tax, shall be paid to the City of Tavares upon the signing of the contract. Balance of the rental fee, tax, security deposit and additional rentals must be paid in full 60 days prior to the scheduled event. 


IS THERE A DAMAGE OR SECURITY DEPOSIT IN ADDITION TO MY RENTAL CHARGE? 


Yes. Security deposits are required to be paid 60 days prior to the event. Rental of the full facility requires a $1,000 security deposit. Rental of one selected function space requires a security deposit of $250. Following a satisfactory inspection by the City after the event, security deposits will be returned within 30 days.

HOW LATE CAN I STAY? 


Your event is to conclude at the time listed on the contract. All guests must vacate the premises by the end of your rental period. The latest time the facility is available is until 11:00 pm.

ADDING AN ADDITIONAL HOUR WHILE OUR EVENT IS IN PROGRESS, IS THAT AN OPTION?


Yes, please find a pavilion services associate as they will need to collect payment prior to the additional time added. The standard hourly rental rate for each area rented will be doubled and charged for any time you are in the building past your rental period (no discounts will apply). No events past 11:00 PM. If there is any alcohol consumed during the event, the caterers will need the additional time as well, for liability purposes. 

WILL I RECEIVE A REFUND IF WE LEAVE EARLY?


No. You must plan your event as accurately as possible.


WHAT DOES THE PAVILION SERVICES TEAM DO?

        The Tavares Pavilion on the Lake Services team will gather details on your event to make sure the facility is 
        ready for your vendors on the day of your event. Our services team does not function as a wedding planner or   
        day of coordinator. On the day of your event there will be a pavilion services associate present on-site from load 
        in to load out, as well as to monitor the venue. 

CAN I HAVE CANDLES?


Candles are permitted as long as the flame is enclosed in glass (such as votives and hurricane lamps) and the wick is at least 2 inches below the top of the glass rim – candles may also be used if floating in liquid. No hand held candles are permitted. Maximum 3 per table. 

CAN I CHOOSE MY OWN VENDORS? 


All catering services must be provided by one of the listed selected catering companies. No other catering services are permitted on the pier or in the pavilion. Kitchen facilities are available ONLY to the select caterers.
You may choose your own vendors such as florists, photographers, cake, transportation, and event planners. We do require a list of these vendors (with addresses, phone numbers, and e-mail addresses) 30 days prior to your event. 

CAN I HAVE ITEMS DELIVERED PRIOR TO MY EVENT? (FLORIST, DJ, DECORATIONS)


The building is in use seven days a week, often multiple times a day, and we have no storage space available for early deliveries.

CAN I HAVE MUSIC OUTSIDE ON THE PIER?


Yes, the pier has speakers on each brick column. Any device that has an auxiliary connection may be used. 

CAN MY FLOWER GIRL THROW ROSE PETALS? 


Yes, natural/real flower petals are only allowed on the pier, as they are not permitted inside of the pavilion. Silk flower petals are allowed inside of the pavilion, however, they are not allowed on the pier. 

HOW MAY I DECORATE? 


Please refer to the facility agreement section titled "Set-up, Decoration, Signage" for further details. Decorations are permitted only in the space you have reserved. It is the responsibility of the renter to remove ALL decorations prior to the rental block end time. The Tavares Pavilion on the Lake does not have storage facilities for your decorations prior to, or following your event.

IS LINEN PROVIDED FOR TABLES?


The Tavares Pavilion on the Lake utilizes linen-less tables.  However, if you choose to use linen on tables, you could rent those through a vendor.

CAN WE SMOKE CIGARS ON THE DECK?


For the safety and comfort of all guest, smoking is not permitted in or on the Pavilion premises. Please inform your guests to where the designated smoking areas are located.
